Who we are

DocuGenius is a product built and operated by ITQuarks. When this policy refers to "DocuGenius", "we", or "us", it means ITQuarks acting as the data controller for personal data collected through this website and the DocuGenius application. For privacy questions, contact

.

What we collect

  • Information you give us - name, work email, company, and job title submitted through demo-request and contact forms; messages you send us; documents you upload inside the application after signing in.
  • Account data - authentication identifiers managed by our identity provider (Auth0) when you sign in to the DocuGenius application.
  • Usage and device data - IP address, browser type, referring URL, pages visited, and interactions on this site, captured through cookies and similar technologies after you accept the cookie banner.
  • Marketing attribution data - UTM parameters and Google click identifiers (gclid) appended to URLs from paid campaigns, used to attribute demo bookings to a campaign source.

How we use it

  • To respond to demo requests and contact-form messages.
  • To operate the DocuGenius application, authenticate users, and process the documents you upload.
  • To measure how visitors use this site and improve product, content, and campaign decisions.
  • To attribute conversions (such as a booked demo) back to the marketing campaign that generated them.
  • To meet legal, accounting, and security obligations.

Our legal bases under GDPR are: your consent (for analytics and marketing cookies), contract performance (when you use the application), and our legitimate interest (in running and securing the website and improving the product).

Cookies and tracking

When you load the website, no analytics or marketing cookies are set until you accept the cookie banner. After you accept, we load the following:

  • Google Analytics 4 - aggregate site analytics.
  • Google Ads - measurement of paid-campaign conversions and remarketing audiences.
  • Contentsquare - anonymised session analytics to understand how visitors interact with pages.
  • HubSpot - embeds the form you use to book a demo and stores the submission against your contact record.

You can withdraw consent at any time by clicking the Cookieslink in the footer (or, on landing pages, in the page footer) and choosing "Reject". Rejecting consent prevents the analytics and marketing scripts from loading on subsequent visits.

Who we share data with

We share personal data only with service providers that help us operate the site and product, under contract: Auth0 (authentication), HubSpot (CRM and forms), Google (Analytics and Ads), Contentsquare (session analytics), Vercel and AWS (hosting), Strapi-based content delivery, and email/Slack providers for internal notifications. We do not sell personal data.

Where data is transferred outside the European Economic Area, we rely on the European Commission's Standard Contractual Clauses or equivalent safeguards.

Retention

We keep contact-form and demo-request data for as long as the lead remains active in our CRM, and for up to 24 months after the last interaction. Application data is retained for the duration of your account and deleted on request when the account is closed. Analytics data is retained per the default Google Analytics 4 retention settings (14 months).

Your rights

If you are in the EEA or UK, you have the right to access, correct, delete, and port your personal data, to restrict or object to processing, and to withdraw consent at any time. To exercise any of these rights, email

. You also have the right to lodge a complaint with your local data-protection authority.

Updates to this policy

We may update this policy as our product or legal obligations change. The "Last updated" date at the top of the page always reflects the current version.
